If you have not already downloaded the Outlook Sync, please navigate to this support page on installing the Outlook sync.
To use the sync, open up Outlook and sign-in with your PipelineDeals username and password.
Syncing For the First Time
When you sync for the first time, you will be prompted to choose which existing categories of contacts you would like to sync with PipelineDeals. Select the categories that you would like to sync with PipelineDeals by clicking the checkboxes next to categories. You can choose to leave your Outlook contacts un-synced to PipelineDeals by not clicking on any checkboxes.
Your contacts from PipelineDeals will sync to your Outlook contact folder, and will be categorized in Outlook under the category “PipelineDeals.”
The Outlook Sync is a true bi-directional sync between Outlook and PipelineDeals. Outlook contacts that are synced with PipelineDeals will have the category “PipelineDeals” on their contact record. You can view your Outlook categories by clicking to view your Contacts as a list in Outlook.
Any additions, edits that you make on contact records in PipelineDeals will update records in Outlook, and vice versa. If you delete a contact record in Outlook, it will remove the contact record in PipelineDeals. But, you delete a contact in PipelineDeals, it will not delete the contact record in Outlook. It will simply remove the PipelineDeals category.
To sync from PipelineDeals to Outlook
All contacts that you add in PipelineDeals will sync to Outlook.
To sync from Outlook to PipelineDeals
There are several ways to sync a contact from Outlook to PipelineDeals, including:
1 - From Compose Message Window
When you email a contact or lead in Outlook, choose to the option to Send and Add to PipelineDeals. This option will appear above the Send button in the Compose Message Window.
If the contact already exists in your PipelineDeals account, the email will be tracked as an activity on that person’s page. If the contact does not exist, PipelineDeals will create a new person and track the activity.
2 - From the Inbox
You can click to add any message from your Outlook Inbox to PipelineDeals. If the contact already exists in your PipelineDeals account, the email will be tracked as an activity on that person’s page. If the contact does not exist, PipelineDeals will create a new person and track the activity.
3 - From Your Contacts Folder
Click to add an existing contact to the category PipelineDeals. This will indicate that you want to sync the contact with PipelineDeals.
The Outlook sync is a true bi-directional sync between your PipelineDeals and Outlook calendars. Tasks and events that you add in PipelineDeals are added to your calendar and task list in Outlook, and vice versa. Additionally, if you update or delete the task or event item in one app, it will be deleted in the other app too.
Events from PipelineDeals will appear on your calendar in Outlook, and tasks from PipelineDeals will appear on your task list in Outlook. If your task or event is associated to a deal, person, or company in PipelineDeals, the associated URL from PipelineDeals will appear in the details for the task or event. Only events from your primary calendar in Outlook will be synced with PipelineDeals. If you do not want an Outlook event to appear in PipelineDeals, you will need to select the lock icon to mark the event private.
Frequently Asked Questions
1 - How often do Outlook and PipelineDeals sync together?
Any updates that you make to contacts, events, or tasks in Outlook will immediately update in PipelineDeals. However, updates you make in PipelineDeals will not immediately appear in Outlook. This is due to the fact that Outlook is based on your desktop and not in the cloud.
We have setup the sync to regularly call out to your PipelineDeals database every 15 minutes to look for updates. You can also manually sync your contacts, tasks, and events at anytime by clicking on the PipelineDeals icon in Outlook and requesting a sync.
2 - How does the sync get updated?
Periodically, we will submit updates to improve the sync and fix any issues that are discovered with the software. Unlike with PipelineDeals where software updates occur automatically without any lapse in your service, we cannot automatically update the Outlook sync plug-in on your computer. When requested, please download the most updated version of the Outlook sync and reinstall on your system.
3 - Why are my reoccurring events not appearing?
Currently, we do not support recurring events. Whether they are recurring events created in PipelineDeals or in Outlook, we cannot sync that information at this time.
4 - The sync became disabled, how can I enable it again?
If the sync becomes disabled, you can reenable the sync in the Add-Ins area of Outlook. Click File > Options > Add-Ins. Select the PDOutlookPlugIn file and enable the file.
