With the PipelineDeals Connect Inbox available through our Grow plan, you can handle all of your email correspondence in one place and streamline your sales workflow. No more switching back and forth between your email client and PipelineDeals, or using special BCC tricks to get email replies into the system. Now, from the Connect tab, you can:
- Access your entire email inbox
- Automatically log complete conversations on profile pages
- Create new contacts with a click
- Compose, read, reply to, and forward messages, formatted how you like, with or without attachments
- Archive less important messages
- Ignore senders to keep distractions at a minimum
You will also have access to email insights, which shows you the deals and upcoming tasks for each contact, right in the Inbox and alongside email messages.
The Connect Inbox works with Gmail and cloud based Microsoft Exchange email, and the IMAP integration means that changes are synchronized — actions you take in the Connect Inbox are reflected in your other inbox, and vice-versa.
Access Your Inbox
Once you give PipelineDeals permission to access your email account, the messages currently in your inbox will populate your PipelineDeals Connect Inbox. When the Connect Inbox finds an email from someone who's a contact in PipelineDeals, it will automatically log 60 days of conversations with that contact — emails you received as well as sent — as Activities on the contact’s profile page. Future emails will be automatically logged as well.
After the initial sync, new emails will trigger in-app notifications so you can respond immediately, while you’re at the top of your contact’s mind. You can also forward messages or archive them; add the senders as contacts in PipelineDeals; or start new conversations.
Add New Contacts
If the sender is not a contact, add them to PipelineDeals right from the Connect Inbox or message reply screen. When the sender is added, previous emails to and from that sender will be logged as Activities on the contact's profile page. Please note that this is not limited to 60 days of history.
You can compose new messages from the Connect Inbox, from profile pages, or from list views. If you wish to compose from the Connect Inbox, simply click on the "Compose email" button in the upper-right hand corner of your Connect inbox. Start typing the person's name or email address in the ‘To' field, and if the message is to a PipelineDeals contact, we’ll quickly match the address. Format your message, add links and attachments, and create a customized signature that will appear at the end of your message. Your email will be from the name and email address you have set up for your PipelineDeals account.
If you’re emailing a contact, the sent email message will be added as an Activity on the recipient’s profile page.
Archive Messages, Ignore Senders, and More
When you archive a message in the Connect Inbox, and it’ll be archived in your mail client, and vice-versa. Marking messages as 'read' works the same way. When a message is archived or deleted in your normal email client, it will be removed from the Connect Inbox. (If the email has already been tracked as an Activity in PipelineDeals, the Activity will not be deleted.)
Ignoring a sender will archive all of the sender’s emails in the Connect Inbox and block future emails from that sender from appearing in your PipelineDeals Connect Inbox. No changes will be made to your regular email inbox - you'll still be able to receive email from the sender, but it won't appear in PipelineDeals any longer. This is especially handy for clearing the inbox clutter of personal emails, office chatter, and other emails that aren't directly relevant to your sales pipeline.
Get Context and Next Steps with Email Insights
Using insights, you can see both what tasks you have coming up associated with a person as well as the amount and stage of any current deals you have with that person. This data can be used to help you prioritize the way you handle your emails, making cutting through inbox clutter a breeze.
Frequently Asked Questions
What about my personal emails?
Unless you have a person profile within PipelineDeals for the person you've been emailing, there is no record stored in PipelineDeals. Your Connect inbox is only visible to you, so any personal emails with people who are not in your PipelineDeals system as people will stay personal. If you mouse over the sender's email address, you will see a link with the option to ignore the sender. This will ignore emails from that person for the purposes of the Connect inbox in PipelineDeals, but you'll still get their emails on your normal email client.
We have person profiles for internal testing, but I don't want internal communication synced to PipelineDeals. How do I prevent that?
If you have internal profiles for testing, you will have your email record synced up to that profile, however there is an easy workaround. You can add "+test" to the end of the email address - for example: firstname.lastname@example.org - and emails that you send to that address for testing will still be received by the original address (in the example above, emails sent to email@example.com would be received by firstname.lastname@example.org) but the system won't recognize it as the same email for the purposes of the Connect sync, so your internal communication wouldn't be synced up to your system. This works because anything after a plus sign is disregarded by the receiving mail server - you could put anything you want in there and it will still be received by the original address.
