Create Custom Field Groups
Welcome to the QuickStart guide for admins! On this page we'll review the changes you'll need to know about to set up Custom Field Groups for your team. You'll need to have Account Administrator privileges in order to make changes to your account settings - if you aren't an admin, contact an admin for your account to help you make these changes.
In this guide you'll learn about:
- Setting up Custom Field Groups
- Editing and Deleting Custom Fields
- Custom Fields on Profile Pages
- Custom Fields on List Views
- Telling Your Team
You can set up Custom Field Groups on your account settings page under “Custom Fields”. To get there, click on the gear icon in the upper right-hand corner, then on “Account Settings”, then on “Custom Fields” on the left hand side. Navigate to the appropriate tab (Company, Deal, or Person fields) for the custom field group you wish to set up and click on the “Manage custom field groups” link.
From here, you can add new custom field groups (1), or mouse over the name of an existing group to make changes to an existing group. Click on the edit icon to edit the name of the group (2) or the delete icon to delete it (3). Changes are saved automatically, so just click the “Close” button when done.
A group can be picked for a custom field either at creation or when editing a custom field by using the “Group” dropdown menu to select the group you want this field in.
Before, you clicked on an icon to either edit or delete a custom field. Now, just click on the name of the custom field to bring up the editing window. This window also gives you an option to delete the field entirely, which you can find in the lower left-hand corner.
Ungrouped custom fields will remain in the “Custom fields - Other” box. When you first set up a Custom Field Group, the new group and the fields within it will appear at the bottom of the appropriate type of profile page (company, deal, or person profile). You can expand these groups by clicking the “^” icon next to the name of the group you wish to expand, and you can move it up the page by clicking in the grey top bar of the group box and dragging and dropping it to the position you like. In the example above, the "Project Specifications" box has been expanded, but the "Billing Info" box is still minimized.
Any changes you make to the layout of the boxes will be saved across all profiles of the same type, so you only need to make this adjustment once! Keep in mind, however, that profile page arrangement is specific to your login, so other users on your account will also need to do this for themselves.
You'll see Custom Field Groups appear in the 'Add/Remove Columns' menu on list views so that you can more quickly and easily find the custom fields you need. These groups are sorted alphabetically with "System Fields" (that is, the system's default fields) floating at the top. Click on the triangle button to the left of the group name to expand or minimize the group as needed.
Most of these changes are things that only you as the admin will notice, but there are a few things you may want to let your regular users know about. While we'll be sending out an email about this feature, once you actually set up the Custom Field Groups, things will change for your users, so you'll want to make sure to tell them once the changes you make are in place. Here is a sample email you can use to inform your users about the changes:
Hi <Their Name>,
PipelineDeals just launched a new feature that lets us organize our custom fields into groups. I just set these up for our account, so I wanted to let you know right away so you weren't concerned about important custom fields that went "missing". They aren't missing, you'll just now find them at the bottom of the profile page (for People, Deals or Companies) organized into groups. You can collapse, expand and move these new group sections around on your profile page to make the ones you use more visible. You'll also see these groups on your People, Deals and Company list views when you select 'Add/Remove Columns'. PipelineDeals updated this section to make it easier for us all to find the fields more quickly and easily to be more efficient in our day-to-day operations. Please let me know any feedback you have on how I organized and labeled these new groups for our team so I can make any changes necessary.
Have a great day,
The Admin <Your Name>
